Onboarding, in three steps
Getting started on AF Studio is deliberately light on your time. There’s no software to
install and no long setup project — just three short steps, each on its own secure link that you open in a
browser.
Share access, securely. Enter the logins for the apps we’ll automate (Sculpture, Toast, SpotOn, Fintech) on an encrypted form — your passwords are never shown to anyone.
Pick your restaurants. Choose which locations AF Studio automates, from a clickable list we build from your Sculpture account.
Send your examples & invoices. Drop a “before & after” example so AF Studio learns your clean-up — plus your invoices — all in one folder pack.
A note on access, up front: AF Studio only ever takes the limited, read-only
access it needs to do the job — enough to list your restaurants and read your reports. It never changes
your Sculpture data, your settings, or your account.
Step 1 — Share access, securely
To run your automations, AF Studio signs in to your apps on your behalf — so the most
important part of onboarding is giving us those logins safely. You do it once, on an encrypted form.
We send you a private Account Access Setup link (valid 30 days). There’s no login to remember
— the link is the key. You add one row per application login — Sculpture (Beverage or Food),
Toast, SpotOn, or Fintech — with the name, email, username, and password, and click
Submit securely.

Your passwords stay private — by design
The moment you submit, every username and password is encrypted (AES-256) and used only by the
automation, at run time. Your application passwords are never displayed on any staff screen —
there is no reveal button for them. We can use a login to do the work without any person being able to
read it.
Two different passwords — don’t mix them up
Your application passwords (Sculpture, Toast…) are yours and stay private. The name and email you enter
here are also used to create your own separate AF Studio Portal sign-in, with a temporary
password you change on first use. That Portal password only opens the portal — it is never one of your app logins.
Step 2 — Pick your restaurants
You decide which locations AF Studio works with. We hand you a secure link to a simple, clickable
list — tick the restaurants to include, up to your plan’s limit, and submit.
The list builds itself — from your own Sculpture login
You don’t type in a single restaurant name. When you connect your Sculpture login (Step 1), AF Studio
does a read-only catalog pass: it signs in, reads back the list of your restaurants, and
displays it here for you to choose from. It retrieves and shows — it changes nothing. If your
franchise has several Sculpture logins (one per area or operator), each is read separately and the results are
merged and grouped by area, with anything seen by more than one login listed once so it’s never
double-counted.
Only currently active restaurants appear — anything with no activity in about six months is held out, so you never spend a plan slot on a dormant location.
A running “X of Y selected · Tier N” counter keeps you inside your plan, with a Select all and By city / By account views.
One list covers every tool — Product Mix, Modifier Details, PDF Invoices, Fintech Invoices, and SpotOn — so there’s no separate limit to track per workflow.
The color-coded stars tell you what each restaurant runs
The list itself is your Sculpture restaurants (Beverage or Food). A small colored star next to each
name shows which other systems that location also uses — so the picture matches how each restaurant actually
operates. The same legend covers Sculpture Beverage & Food, SpotOn, Toast, and Fintech:

You’re always in control
Nothing is automated until you submit your list, and you can reopen the link to change it any time before your setup is
finalized. The tier itself is fixed by your agreement — you simply choose the restaurants.
Step 3 — Send your examples & invoices
Every operation cleans up its exports a little differently before they go into Sculpture. Instead of
making you describe those edits, AF Studio just learns them from an example.
To make that painless — even across a few hundred restaurants — your
Send Us Your Files link gives you a ready-made folder pack built from
your restaurant list, in three steps: 1 — download your folders (one per restaurant,
already named), 2 — fill them in (drop a “before & after”
pair — the raw export next to your finished file — plus your invoice PDFs), and
3 — send the whole folder back in one upload. We route every file to the right
restaurant and report automatically. Two or three weeks of examples makes it more reliable.
The folder is a one-time setup. For weekly invoices afterward, keep using the folder
or simply email them to your private intake address (or send a single file) — whichever is
easiest for you.

How we turn that into an automatic filter
From your raw and finished files, AF Studio reverse-engineers the filter — the exact set
of column, row, and value changes that turns one into the other — and then proves it: it
re-applies the rule to your raw file and confirms it reproduces your finished file exactly. With more than one example
it holds one back to make sure the rule generalizes. From then on, that filter runs on every future export
automatically.
It corrects reliably, or it asks — it never guesses
The filter is deterministic: the same file always produces the same clean result. Anything it can’t confidently
place is flagged for review rather than silently changed — so a bad row never slips into your
numbers. The same approach reformats a file for Sculpture or, when needed, any other application.
